What the plan does not know
It does not know who is not speaking to whom, which uncle should not be near the bar, or that the round table by the door is the cold one. It gets the arithmetic out of the way so you can spend your attention on that.
How to do it
Wait for the replies
A seating plan built before the replies are in gets rebuilt. This is the one step you cannot compress: everything below depends on knowing who is actually coming.
Group people before you place them
Write your list with groups — family, university, work, neighbours. Almost every seating decision is really a decision about a group, and a plan built from individuals scatters them.
Ask the venue for the table size, not the table count
Rooms come with a fixed number of round tables of a fixed size. The seats per table decide how the groups fall; the number of tables falls out of that.
Fix the splits by hand
The plan tells you which groups it had to break apart. That list is short, and it is exactly where your judgement is worth more than any algorithm.
The seating plan is a packing problem, and then a human one
Two things are going on and only one of them is hard for a person. Fitting eighty-seven people onto tables of eight, keeping the family of six together, and noticing that this leaves one table of seven is arithmetic — tedious, error-prone and instant for a computer. Deciding who sits next to whom is not arithmetic at all, and no tool should pretend it is. So this does the first part completely and then hands you a plan you can argue with.
Questions
Round tables usually seat eight or ten, and the venue decides which — the size is a property of the furniture, not a preference. Ask them before you plan anything, because eight and ten produce completely different groupings from the same guest list.
After the replies and before the place cards get printed, which in practice means the last month. Doing it earlier means doing it twice: every late cancellation moves somebody.
Both are common and it is genuinely your choice — a table for two, or joining one of the family tables. If you take a table of your own, remember it takes seats out of the room, so add it to the list as its own group.
